The Night Auditor/Night Manager/Accountant is responsible for the overnight operations of the Front Desk, ensuring the guests have a single point of contact during those hours, while also performing the audit functions of the hotel’s daily transactions, and accounting functions, giving ownership and management clear reporting snapshot of performance.

  • Duties/Responsibilities

    • Contributes to the departmental and property monthly goals for guest satisfaction scores by doing the job right the first time and giving exemplary service that goes above and beyond guest expectations. This is Job One for all team members. 
    • Must be proficient in all of the duties and responsibilities of an Ambassador, performing those duties as called upon during the shift. 
    • Possesses and maintains thorough knowledge of hotel services, facilities, policies, room rates, and area attractions.
    • Knows how to operate PMS, other front office equipment, M3, Labor Tracking System, and Time Clock/Payroll System, as well as how to use all reception desk and office equipment, including phone, lock system, Quore, radios, printers, copiers, and scanners.
    • Takes personal responsibility to rectify guest complaints to their satisfaction. Listen actively to the guest’s complaint or concern, tell them what you are going to do, and then follow through, entering the issue in Quore and taking personal responsibility to ensure the guest is satisfied with the outcome. Never let a guest leave unhappy. 
    • Makes safety and security a top priority. Is completely trained in competent in all emergency procedures and be ready to take charge in an emergency. Is constantly aware of potential security threats and models If You See Something, Say Something by notifying the Manager on Duty or any other Manager. Stays knowledgeable of fire panel functions and location of gas and water shut offs.
    • Be alert to hazards anywhere observed in the hotel and take personal responsibility to ensure they are corrected. 
    • Monitors and maintains the ground floor area to ensure that all exterior entrances are secured for safety and security. Reopens front entrance at the time designated per the hotel’s procedure.
    • Reconciles all guest charges and credit card charges and payments, transfers charges and deposits to master accounts, and verifies all account postings and balances.
    • Tracks and reports food and beverage tips, including employee reported and charge tips.
    • Completes night audit checklist to ensure that all nightly activities, including posting room, tax, food and beverage, and incidental charges to guest accounts, are accomplished.  
    • Balances all accounts each night, summarizing all cash, check, and credit card activities, recapping the results of operations for management, and transmitting credit card charges. 
    • Tracks room revenues, occupancy percentages, other front office statistics, and transmits the flash reports to the assigned distribution list nightly.
    • Verifies all documentation for tax exempt status and corresponding binder which may be audited
    • Maintains the public space in the Lobby and Library areas. Makes sure the television is on designated station and at appropriate volume levels. Makes sure the MOOD music system is on correct channel and at right volume level. Maintains the printer station and assist guests with their print jobs.
    • Stocks The Shop and conducts nightly inventory of product. Supervises cashiering and receipting the sale of merchandise by cash and charge transactions; maintains sales records and makes daily reports.
    • Maintains regular attendance in compliance with the hotel’s standards, as required by scheduling which will vary according to the needs of the hotel.
    • Monitors and requests reorder of supplies for the Front Desk and Back Office.
    • Codes invoices for entering into M3 Accounts Payable Module. 
    • Imports data from OnQ into M3 Daily Report Module, and balances Daily Report. Pulls shift drops and make deposit for General Manager. 
    • Prepares accounts receivable invoices each day and preps for mailing by General Manager. Prepares statements for all customers at end of the month. Posts accounts receivable payments each day from the log entered by the General Manager. Leaves collection actions for the GM. 
    • Reviews employee time clock punch data, making corrections or following up on issues. Makes sure that data is correct, so Labor and Payroll Tracking Data is correct. 
    • Updates Forecast in M3 Insight so Flash Financial is accurate. 
    • Identifies leads for sales by surfacing information on guests’ companies and reasons to visit and communicate them to Sales using the specified method. 
    • Assists in preparation of annual budget.
    • Delivers items to guestrooms as requested when not alone at the desk and there is no one else to do it. Checks for room service trays and bring to appointed area. Performs any other tasks requested during the overnight shift.
    • Follows all OSHA/HAZCOM procedure, monitoring Lobby, Library and The Shop areas for spills, mopping when necessary, and putting out caution signs. Is alert to hazards anywhere observed in the hotel and take personal responsibility to ensure they are corrected. 
    • Counts down banks at the beginning and end of each shift.
    • Wears appropriate brand required uniform and name tag during all scheduled shifts.
    • Performs all other duties assigned from time to time.

    Education and Experience

    • High school diploma or equivalent
    • Three months of related experience

    Physical Requirements

    • Prolonged periods standing and working at a computer screen.
    • Must be able to lift and carry up to 25 pounds at a time.
